How to Perform a Stock Take for a Zone

Track and reconcile physical stock with system inventory using structured, zone-based stock taking in Mores Software.

Thank you for choosing Mores Software. This guide will walk you through the first steps to start using the platform effectively.

🔑 Step 1: Access the Platform

Open your browser and go to:

👉 ui.mores-soft.com

You'll be greeted with the login screen. Enter your credentials and click Login.

🏢 Step 2: Select Your Company

Once logged in, the first thing you'll see is a Company Selection Panel.

  • Choose the company you want to work with.
  • This helps the system load relevant settings, data, and permissions tied to that company.

🌿 Step 3: Choose Your Branch

After selecting your company, choose the branch location (if applicable).

This ensures that the data you work with is filtered specifically for that branch's operations.

✅ Tip: You can change your company or branch later by clicking the top-right profile menu.

📋 How to Perform a Stock Take for a Zone

🔁 Step-by-Step Guide

1️⃣ Access the Stock Taking Module

Go to:

Warehouse Module → Stock Taking

2️⃣ Create a New Stock Taking Task

  • Click on New Stock Taking (top-right corner)
  • Fill in the following details:
    • Name/Description of the task (for identification)
    • Select the Warehouse you are performing the stock take for

🧠 Note: Only zones within the selected warehouse will be available in the next step.

3️⃣ Assign Responsibility

  • Owner of the Task: Choose the responsible person overseeing the stock take
  • Counting Team: Select one or multiple people for the physical counting

⚠️ If multiple individuals are assigned, each must enter values for the counted items

4️⃣ Set Dates

  • Select the Issue Date and Receipt Date

⏳ Note: Changing these dates can affect the calculated cost of each item, as they alter the order in which receipts and issues are evaluated.

Click Save (top-right corner)

5️⃣ Select Zones for Stock Taking

  • In the form below, click Select Zone
  • You'll see the last stock taking date next to each zone
  • Choose the relevant zones for this task
  • Click Save (bottom-left corner)

6️⃣ Start the Stock Taking

  • Click Start (top-right corner)
🛑 Important:

Once started, all sales and purchases are locked for the selected zones.

Stock from these zones will remain unavailable until the process is completed or fully cancelled.

7️⃣ Print the Stock Taking List

  • Go to Reports (top-right corner)
  • Print the Stock Taking List for physical verification and counting

8️⃣ Record Counted Stock

Go to the Counting Goods tab:

  • In front of each zone, click the arrow on the right to expand
  • You will see the products in that zone
  • Expand each product to see the individuals assigned to count it
  • For each individual:
    • Enter their counted quantity
    • Provide a reason if there are any discrepancies
  • After all individual counts are submitted, enter the Final Quantity — this will be used to update the actual stock in the system

9️⃣ Complete the Process

  • After entering all product quantities:
    • Attach any PDFs or physical documents (e.g., signed count sheets)
    • Upload them to the Stock Taking Form
  • Click Finish (top-right corner)

🔍 Review Surplus/Deficit and Accounting Entries

Once finished:

  • Go to the Surplus and Deficit tab to view:
    • All quantity discrepancies
    • Item-wise variances
  • Accounting journals are automatically generated and visible below the form for audit and reference

✅ Best Practice:

Complete the process without long delays to avoid blocking sales/purchases. Use physical labels and printed count sheets to improve accuracy and reduce manual errors.
