How to Use Aging Reports
Aging reports help monitor outstanding receivables and payables over time, ensuring your business maintains healthy cash flow and detects delays in payments early.

๐ Step 1: Access the Platform
Open your browser and go to:

You'll be greeted with the login screen. Enter your credentials and click Login.
๐ข Step 2: Select Your Company
Once logged in, the first thing you'll see is a Company Selection Panel.
- Choose the company you want to work with.
- This helps the system load relevant settings, data, and permissions tied to that company.
๐ฟ Step 3: Choose Your Branch
After selecting your company, choose the branch location (if applicable).
This ensures that the data you work with is filtered specifically for that branch's operations.
โ Tip: You can change your company or branch later by clicking the top-right profile menu.

1๏ธโฃ Access the Aging Report
Navigate to:
Purchase and Sales โ Balance Report
2๏ธโฃ Explore the Aging View
Once on the page:
- A list of customers or vendors will appear
- The report can be switched between:
- Income-based view (for receivables)
- Expense-based view (for payables)
Use the filter button (top-right corner) to customize:
- Monthly, quarterly, or annual summaries
- Date ranges (fromโto)
- Specific customer or vendor
3๏ธโฃ Analyze the Data
For each individual:
- Total outstanding amounts are broken down by period (e.g., <30 days, 30โ60, 60โ90, etc.)
- Colored indicators help identify aging risk levels
Next to each name:
- ๐ Write Note โ log internal comments or reminders
- ๐จ๏ธ Print โ generate and print a balance report
- ๐ต Accounting Balance โ click the blue text under the name to access the detailed accounting ledger for that person
๐งฎ Understanding the Two Types of Balances
โ ๏ธ You may notice a difference between the Accounting Balance and the Installment Balance.
This happens when:
- Payments are not yet mapped to the installments, or
- The invoice has payment terms, but no actual payment assignments have been linked
__ How to Map Payments to Installments
To reconcile the two balances:
- In the Aging Report, look to the right-hand side of the entry
- Click the equivalence (โก) icon under the values
- A dialog will open โ select:
- The Payment Term
- The Payment that should match the installment
- Click Equivalence to finalize the mapping
โ Once mapped, the system will sync the installment balance with the actual payment record, keeping your reports accurate
